File sharing - collaborative documents

Storing documents in a central, shared location lets many team members access, update and edit the same documents. This avoids the confusion and inconvenience of trying to collate several different versions of a document with different workers' input.

Also, by putting document templates (such as forms that have to be filled in) on an intranet (a local version of the internet), all users will use the correct version of the form.

Professional software, such as the web page editor Dreamweaver, is designed to let several people work simultaneously on the same website to improve efficiency. Applications such as Word have features to simplify collaboration on documents, such as 'Track Changes' (which records who altered a document, and allows changes to be undone), and 'Online Collaboration' which uses the Netmeeting software to allow several remote people to work together.

Netmeeting's program sharing lets remote users run the same program. They can:

  • View shared programs in a frame, which makes it easy to distinguish between shared and local applications on their desktops.
  • Minimize the shared program frame and do other work if they do not need to work in the current conference program.
  • Easily switch between shared programs.
  • Choose to allow one person to work in the shared program at a time.
  • Approve conference participants' requests to work in the program they introduce.
  • Allow or prevent others from working in a program using the Sharing dialog box.
